Barcodes have most definitely become part of our every day life and for sure has started a new culture. You notice more and more from doing your shopping, where you can now either walk around a supermarket with a hand held scanner to mobile phone devices having built in barcode readers in order to read a number of barcodes from product purchases to standing at a bus stop and wondering when the next bus is due!
Archival Record Management PLC uses O'Neil RS SQL information management system in conjunction with the use of barcodes. This program is the latest technology for the Document Management industry. This enables us to cater to various clients unique requirements. O'Neils Software also assures us the development to meet the Document Management demands of the future.
Barcodes are used to not only store boxes, files and magnetic media in relation to where they are located within our storage facilities, but are also used to securely track and retrieve upon request.
From the time a barcode is assigned or picked for delivery, the system will begin to track its activity in relation to the following:
- Requested for delivery / collection.
- Delivery / collection confirmation.
- Received to storage facility.
- Confirmed to storage location.
Bar codes can also play an important role in a Secure Destruction Programme. When a box containing documents or a file is placed with Archival Record Management for storage, this is the first thing we do, as this allows us to start the traceability of a specific document whilst in our care. Once the barcode is assigned, when uploading the barcode information to our RS SQL information management system, retention / a destruction date can also be entered into the system which will automatically flag up when the dates mature, at this stage we notify the client to advise.
All activities carried out on your account must be confirmed. At each step of the way, the RS SQL system will prompt the operators ensuring that no actions taken in respect of your inventory remain unconfirmed. This system offers full audit traceability to the client.
